Last-Minute Wedding Guest Cancellation? Do This.

Uh, oh: it seems that Aunt Mary can’t attend your wedding tomorrow. Of course, you’ll be devastated that she’s won’t be present for the big day — but it’s more devastating that you’ll have to pay for the empty seat since you already gave the headcount! Take a deep breath, and this is what you should do:


Take it Easy

The essential step when there’s a last-minute guest cancellation is to breathe. Granted, it’s not the greatest feeling in the world, because wedding planning is stressful enough — but, things do come up, and they are usually unplanned.

Of course, you’re not going to stop talking to your Aunt Mary, but you can take action to try and make up for the seat-less place setting. This is now your chance to speak to the venue and/or the caterer.

Talk it Out

Sometimes, it’s best to be upfront and honest, talking about the situation with the venue and/or the external caterer you’re using for the big day. Indeed, there is a possibility that you won’t be able to reduce the headcount for your big day — since many venues/caterers won’t allow changes in their contracts.

Since you’ll have to ultimately pay for this place setting, regardless of a guest being there, is to be proactive about the situation and weight out your additional options. One of the best? Inviting another guest to attend.

Seek Out Contacts

Not sure who you’ll get to replace Aunt Mary at your wedding? Take the time to search through your contacts and see who would like to be there that wasn’t initially invited, due to space/cost. This can range from the new neighbor across the street that you became friends with, to the co-worker who sits across from you.

No matter who you choose, just let them know the situation since not everyone is available to swing a wedding at the last possible minute. If you’re looking for any other alternative, then you can ask some of your guests to bring a plus one.

Add a Plus One

Have a guest attending that wasn’t initially told to bring a plus one? If that’s the case, you can extend the offer to them. Just like finding another guest to replace your Aunt Mary, you can let them know the situation and tell them that they’re able to bring a plus one.

If your guest opts in for a plus one, then you should contact the venue and/or caterer to let them know of the adjustment, for them to adjust some place settings around. It may seem like an impossible task, but they can certainly do the job with ease!
